Monthly Bookkeeping

We use QuickBooks Online for monthly bookkeeping services. The cost of the software is in addition to our fees, but as an Accountant User with QuickBooks, we can often offer discounts on new subscriptions.

As ProAdvisors, we can also assist with questions & issues with QuickBooks for existing users. We can evaluate your subscription level for cost effectiveness, contact support on your behalf, and address any pain points you may have.

For start ups & small businesses with less activity

Less than 50 transactions per month / 3 accounts

Monthly services include:

Maintaining the bank feed for all accounts
Maintaining the accuracy of Balance Sheet accounts
Maintaining Rules, Vendors, and the Chart of Accounts
Reconciling each account according to the bank statement
Reviewing the Balance Sheet and Profit & Loss
A monthly virtual or phone meeting to discuss the Balance Sheet and Profit & Loss with the Client
Providing the necessary documents to your income tax preparer

For medium size businesses with more activity

Less than 100 transactions per month / 5 accounts

Monthly services include:

Maintaining the bank feed for all accounts
Maintaining the accuracy of Balance Sheet accounts
Maintaining Rules, Vendors, and the Chart of Accounts
Reconciling each account according to the bank statement
Reviewing the Balance Sheet and Profit & Loss
A monthly virtual or phone meeting to discuss the Balance Sheet and Profit & Loss with the Client
Providing the necessary documents to your income tax preparer

And:

Filing & scheduling payment for Sales Tax

For businesses with more complex needs

More than 100 transactions per month / 5 accounts

Monthly services include:

Maintaining the bank feed for all accounts
Maintaining the accuracy of Balance Sheet accounts
Maintaining Rules, Vendors, and the Chart of Accounts
Reconciling each account according to the bank statement
Reviewing the Balance Sheet and Profit & Loss
A monthly virtual or phone meeting to discuss the Balance Sheet and Profit & Loss with the Client
Providing the necessary documents to your income tax preparer
Filing & scheduling payment for Sales Tax

Advisory services on QuickBooks setup
Communication with your income tax preparer during tax time

Quarterly services include:

All of the services usually included in the Basic Monthly Bookkeeping plan, except:
- The monthly client meeting to discuss the financial reports is quarterly
- Bank statements must be provided in advance of any work done

For businesses that have gotten messy

Let us help get things cleaned up.

Cleanup services include:

Evaluating the scope of the work to be performed
Determining whether it is more cost / time effective to clean up or to redo the books. If they need to be completely redone, we will change this to an annual bookkeeping service.
Cleanup services vary widely based on the circumstances and needs of the business. Generally, this service produces the most simplistic annual financial statements used by a tax preparer.

For businesses that are behind, or need things redone from scratch

Annual bookkeeping services include:

Taking the bank transactions and categorizing them en masse.
Using prior tax returns as necessary to produce accurate starting balances.
A thorough review of the Assets & Liabilities of the company.
Basic financial statements used to produce a tax return.

Add the Payroll Subscription to your existing QuickBooks account, or use QuickBooks only for payroll.

Setting up your employees information based on their W-4 Forms
Setting up your Texas Workforce Commission account
Entering your tax ID numbers to QuickBooks
Mapping the payroll entries to the chart of accounts

Payroll services include:

Running the payroll based on your desired pay frequency
Support for case-by-case payroll items such as garnishments, reimbursements, and employee advances, and mapping them in the Chart of Accounts
Monitoring QuickBooks' Payroll Tax payments and support in the event of issues or notices
Ensuring employees receive W-2s

Ending Payroll services include:

Filing the final payroll tax filings with the IRS
Closing your Texas Workforce Commission account

Sales & Battery Tax where applicable

Sales Tax may be annual, quarterly, or monthly, while Battery Tax is always quarterly.

Sales & Battery Tax services include:

Filing the sales tax return with the Texas State Comptroller using financial data provided by the client.
Scheduling payment for the tax with the client's payment information on the tax's due date, usually the 20th day of the month following the end of the period.
Providing confirmation of the filing and payment.

Need to set up your Sales Tax Account?

You must apply for a Sales Tax Permit

Sales Tax Permit Setup services include:

Setting up an account with the Texas State Comptroller for the client, and providing all the login information.
Research to ensure the product or service is subject to sales tax.
Applying for a Texas Sales Tax Permit.
Permits are then mailed directly to the client, along with Webfile Letters. When you receive mail from the Comptroller, keep it handy! You will need this to file Sales Tax electronically.

Need to close your Sales Tax Account?

Closing a sales tax location

Closing Sales Tax Account services include:

Ensuring all filing & Payment Requirements have been met
Closing the Sales Tax location with the Texas State Comptroller
Providing verification of the closure.

Need to invoice your customers? No problem.

One time invoices from estimates, or recurring monthly billing

Accounts Receivable services include:

Managing customers & entering their information to QuickBooks
Creating custom invoices that fit your brand
Creating & managing products & services within QuickBooks and mapping them to the Chart of Accounts
Sending invoices with payment terms, and following up on past due invoices
Properly recording invoice payments that need to be matched to deposits

Service costs vary based on average number of monthly invoices

Form 1099 services include:

Assisting to identify contractors that require 1099 Forms.
Assisting in collecting W-9 Forms from contractors, if needed.
Payment information for each contractor must be provided if we do not procvide bookkeeping services.
Filing each 1099 and providing the client and the contractor mailed or electronic copies of the 1099 Forms.
Providing confirmation of electronic filing and IRS acceptance.

Opening or Closing a Business

If you need to close your LLC with the state, we can help with that. By closing your LLC, you will no longer need to file an annual franchise tax report.

File a DBA with the County Clerk

This business is usually called a sole proprietorship.

Doing Business As (DBA) services include:

Providing the appropriate form for the location of the business, and assisting with filling it out, if needed
The client will then need to get the form notarized
We will file the form with the appropriate local agency
The client is responsible for paying for any filing fees
Apply for a Federal Employer Identification Number, or EIN
Provide guidance on next steps for start ups

Create a business with the Texas Secretary of State

These are entities recognized by a state, and can be different kinds of businesses based on the number of owners, or "members."

Business Formation services include:

Determining whether the desired business name is available in the State of Texas.
Filing the documents with the Secretary of State with information provided by the client
The client is responsible for any filing fees
Provide confirmation of the filing and any related receipts
The Secretary of State provides final confirmation of processing within two weeks of the initial filing. We will receive this confirmation and provide it to the client
Apply for a Federal Employer Identification Number, or EIN

Closing a business

Closing a business may happen for many reasons. Let us help take the stress off.

Business Termination services include:

Verifying the business's good standing with the State
Obtaining a Certificate of Account Standing from the Texas State Comptroller
Filing the termination paperwork with the Secretary of State
The client is responsible for any filing fees
Providing confirmation of filing and any associated receipts
The Secretary of State provides final confirmation within two weeks of the initial filing. We will receive this confirmation and provide it to the client.
Provide guidance on any other applicable required filings which may need to be finalized.
